AI TRAINING FOR BUSINESS

Custom GPT workshop for business teams

Finn teaching participants how to structure an AI prompt during a BRACAI workshop.

EUR 120

per person · 4 hours · minimum 5 people

Your team repeats the same tasks and rewrites the same instructions. In this practical workshop, they build one Custom GPT using your own documents, examples and rules. They leave with a working assistant they can continue to test, improve and share according to your workspace settings.

WHAT YOU WILL LEARN

Three habits that change how your team works.

Each one is explained, demonstrated, then practiced on a prepared business case. We discuss your team's own tasks as we go, so people leave able to apply it to their own work.

1

Stop rewriting the same long prompt every week

Once your team writes good prompts, a new problem appears. Every new chat starts from zero, repeating the context, task, format, tone and examples.

We take one task your team repeats often and build an assistant that already holds the context, tone and instructions, ready before you open the chat.

The setup happens once, saving your team from rebuilding the same context every single time.

2

Write the instructions and give it your knowledge

The instructions are the engine of the assistant. If they are unclear, vague or incomplete, the output will stay inconsistent from chat to chat.

We write them together using role, action, format and context, then add suitable examples, templates and quality criteria, and cover what should stay outside the tool.

The GPT responds using the rules and material your team has deliberately chosen for it.

3

Know which tasks deserve one, and how sharing works

Not every task is worth building a dedicated assistant for, and teams also need to understand access and sharing before they use one together.

We identify a good candidate, test the GPT on real examples, review the sharing options inside your workspace and set clear usage expectations.

Your team leaves knowing when a GPT is useful, how to improve it and when another solution fits better.

LEARN THE TOOL ITSELF

Build a Custom GPT your colleagues can actually use

We cover the main parts needed to create and manage a Custom GPT for business use.

Instructions

The engine of the GPT: the behaviour, tone and rules that apply in every conversation

Capabilities

Which settings to turn on, and why code interpreter should almost always stay on

Knowledge files

Which file formats work well, what is worth uploading, and what should stay out

Sharing and privacy

Who can see and use the assistant, and why nobody can see your individual chats

Naming

The name and description colleagues see first, and why the wording matters

Projects

When a Project is a better home for the work than a dedicated custom GPT

BEFORE YOU BOOK

Is this the right session for your team?

Who it is for

  • Teams already using AI, or about to start

  • Business users with no technical background

  • Mixed levels in the same room, which usually helps

  • Managers who want one shared method rather than individual habits

If you want to solve an inefficiency with AI rather than build it yourself, talk to us about AI solutions instead.

HOW WE TEACH

Learn it, then do it.

Every topic ends with a practical challenge. Watching someone use AI well is not enough. You need to try it, find what does not work and improve it yourself.

teach-01-show.jpg

We show the technique

A short explanation of the topic and a live demonstration. No long theory.

teach-02-try.jpg

You try it yourself

You apply the same method to a realistic business task. This is the part that makes it useful

teach-03-fix.jpg

We fix it together

When it doesn't work first time, we look at it as a group and fix it. You keep the working version

Why it is built this way: people remember what they did, not what they watched.

What participants bring

Bring your own laptop and access to a paid ChatGPT plan that allows you to create or edit GPTs. If the GPT will be shared inside a managed company workspace, check that your workspace settings allow this. We confirm the exact requirements before the session.

Optional: bring a task where you repeat the same instructions or the same context to get a good result.

Common questions

Which AI tool do you teach?

We teach the tool your company uses: ChatGPT, Claude, Copilot or Gemini. The method stays the same. The examples and settings adapt to your stack.

Is this workshop specifically for ChatGPT?

Yes. This version teaches Custom GPTs in ChatGPT. BRACAI offers dedicated Claude and Microsoft 365 Copilot programmes, and can adapt the method to Gemini after confirming the available features and setup.

Do participants need a paid plan?

Yes. Each participant who will create or edit a GPT needs access to a paid ChatGPT plan. In a managed workspace, access also depends on company settings and permissions. We confirm the exact requirements before the session.

Do participants need a paid plan?

Yes, for this workshop. Building and sharing a custom GPT is not available on free accounts. You need a ChatGPT Team or Enterprise plan, or the equivalent in Claude or Gemini. We confirm exactly what is needed when you book.

What is the difference between a GPT and a project?

A GPT is an assistant you set up once and share with other people. A project is a workspace that keeps related chats and files together for you. We cover when each one fits, and we build a GPT in the session.

What is the difference between a GPT and a Project?

A Custom GPT is an assistant configured for a specific purpose. A Project keeps related chats, files and instructions together as a workspace. We cover when each option fits and build a Custom GPT during the session.

Can colleagues see our chats if we share an assistant?

No. Sharing gives people the instructions and the knowledge files, not your conversations. Your chats stay private to you. We recommend keeping assistants inside your organization rather than sharing them publicly.

Can colleagues see our chats if we share a GPT?

Sharing a GPT does not automatically share your individual conversations with colleagues. GPT builders cannot see the individual chats people have with their GPT. Managed company accounts may have administrative controls, so your organization should also follow its own data and access policies.

How do we know a task is worth building an assistant for?

Ask three questions. Do you repeat it often? Does it need a long prompt every time? Does it need a lot of context? If the answer is yes, and other people would use it too, it is a good candidate. We go through this properly in the session.

How do we know whether a task is suitable?

We look at whether the task is repeated, needs the same instructions or context each time, and would be useful to more than one person. We assess this properly during the workshop.

How many people can attend?

The workshop is for 5 to 20 people and works best with about 15 or fewer. For larger groups we recommend splitting the session so everyone gets practical support.

Can we use our own documents?

Yes. We agree in advance what can be used, what should be anonymized and what should stay outside the tool. Clear, text-focused documents are usually easiest to work with, but we test the material before the session.

Can we use our own documents?

Yes, and the assistant is much more useful when you do. Plain text, markdown, CSV and PDF work best. We agree in advance what can be used, what should be anonymized and what should stay outside the tool.
